  • Managing diary - bookings, obtaining basic patient information, sms reminders, scheduling appointments, creating day sheets for Dr.
  • Liaising with New Patients to receive all necessary information and creating patient files. (Also keeping files up to date)
  • Preparing Theatre lists with accurate information e.g. ICD10 and procedure codes to be sent to relevant staff i.e. Anesthetist, Assistant and other clinic staff.
  • Liaising with patients regarding procedure for their upcoming surgeries and collecting payments from patient.
  • Elixir - creating accounts with ICD10 codes where required for medical aid purposes, invoicing, allocating payments, monitoring system.
  • Submitting invoices to Medical Aids (with billing codes) and receiving remittances for patients.
  • Stock control - all botox, fillers, procedure room consumables and implements i.e. garments, implants for surgeries.


Other general duties such as :

  • Quotations for patients
  • Obtaining all lab results for patients and Dr. Potgieter
  • Typing, emailing all correspondence as requested by Dr. Potgieter.
  • Courtesy letters - 'Thank you letters' or for patients to be referred.
  • All filing and other ad hoc duties
  • Aware of all operating procedures required for smooth running of the practice.
