Executive Assistant to the CEO / Facilities Manager July 2012  - present

  • The company was a successful bidder in the
  • management of assets and facilities for the VFS Group of
  • Companies. The VFS Group has won a long term contract to supply and render various services to The Department of Home Affairs in South Africa;
  • The appointment necessitated the incumbent to work on the VFS project with The Department of Home Affairs in South Africa as Facilities Manager;
  • The role of Facilities Manager was broken down into three roles, specifically operations, procurement and maintenance.
  • Facilities Duties included but were not limited to:
  • Oversee many aspects of the company operations including management of vendors and contractors to arrange for maintenance required at various sites for and on behalf of VFS;
  • Obtain quotes and tenders from vendors and suppliers;
  • Negotiate contracts to optimize delivery and cost saving;
  • Generate and present regular reports and reviews of facility-related budgets, finances, contracts, expenditures and purchases.
  • Managing any refurbishments, renovations and  office moves for and on behalf of VFS to make sure they all run smoothly and according to plan;
  • Responsible for the general upkeep and maintenance of buildings to ensure that they meet health and safety standards and also the legal requirements.
  • Manage the cleaning, waste disposal, catering, security and parking of each VFS site, while managing the budgets and keeping records of all payments.
  • Managing the office systems, which often included the IT and office equipment for and on behalf of VFS;
  • Conduct and document regular facilities inspections at various VFS sites.
  • Coordinate intra-office moves for and on behalf of VFS;
  • to advise and make recommendations to the CEO on all matters relating to the purchase, lease, erection, alteration, and renovation of buildings.
